TRAVEL BOOKING TERMS AND CONDITIONS

  1. Introduction

These Travel Booking Terms and Conditions (“Terms”) set out the agreement between Trencher Travel & Tour Ltd (“Trencher”, “we”, “our”, or “the Company”) and any person or organization that books, purchases, or uses our travel-related services (“you”, “your”, or “the Customer”).

By submitting a booking request, completing a payment, accepting a quotation, or using any service provided by Trencher, you confirm that you have reviewed and accepted these Terms.

These Terms apply to travel arrangements made through our website, booking channels, customer service representatives, authorized partners, and technology-enabled services, including services supported by TrencherAI.

Trencher Travel & Tour Ltd provides professional travel and tourism services designed to help individuals, families, businesses, and organizations plan and manage local and international journeys.

Our services may include:

  1. Booking Agreement

A booking request becomes an agreement between you and Trencher when:

Your requested service has been reviewed and accepted;

Availability has been confirmed;

Required payments have been received; and

A booking confirmation or travel document has been issued.

Submitting an enquiry or completing a booking form does not guarantee that a service will be available until confirmation has been provided.

Trencher reserves the right to decline a booking where necessary due to availability limitations, compliance requirements, inaccurate information, suspected fraud, or other legitimate business reasons.

 

  1. Customer Information and Responsibilities

To enable us to provide your requested services, you must provide information that is accurate, complete, and current.

You are responsible for ensuring that:

  • Names and personal details match official travel documents;
  • Passport and identification information provided is correct;
  • All submitted documents are genuine;
  • Travel requirements have been properly reviewed;
  • Any changes affecting your journey are communicated promptly.

Trencher shall not be responsible for additional costs, delays, denied services, or unsuccessful travel arrangements caused by incorrect, incomplete, or misleading information supplied by the customer.

 

  1. Travel Documents, Visas and Immigration Support

Where offered, Trencher may assist customers with travel preparation, including:

Understanding document requirements; Organizing application materials; Providing travel guidance;

Connecting customers with relevant professional services.

Trencher does not issue visas, approve immigration applications, or make decisions on behalf of any embassy, consulate, government agency, or border authority. Visa and immigration decisions are made solely by the relevant authorities.

Customers understand that:

  • Visa approval cannot be guaranteed;
  • Immigration requirements may change without notice;
  • Government fees and official charges may not be refundable;
  • Customers remain responsible for providing truthful information.

 

  1. Travel Planning and MyTrencherAI Assistance

Trencher may use technology solutions, including TrencherAI, to enhance travel planning and customer support.

Information generated through technology-assisted services is provided as guidance and convenience support. Customers should verify important travel decisions with official sources, airlines, accommodation providers, or relevant professionals.

Travel requirements, entry rules, prices, and availability may change after information has been provided.

 

  1. Pricing and Payment

All prices quoted by Trencher are based on information available at the time of quotation and may include:

Travel costs; Accommodation charges; Service fees; Supplier charges; Taxes; Applicable administrative costs.

Prices may change before confirmation due to factors including currency movements, supplier updates, availability changes, government charges, or changes requested by the customer.

A booking will only be processed once applicable payments have been received according to the agreed payment schedule.

 

  1. Flights, Hotels and Travel Suppliers

Many travel arrangements involve services provided by independent companies, including:

Airlines; Hotels; Resorts; Transport providers; Tour operators; Activity providers; Insurance companies.

These suppliers operate under their own policies and conditions.

While Trencher carefully selects and works with reputable providers, Trencher does not control the day-to-day operations, schedules, standards, or decisions of independent suppliers.

Customers agree that supplier-specific terms may apply to their booking.

 

  1. Flight Arrangements

Flight bookings are subject to airline rules and conditions.

Customers are responsible for:

  • Confirming flight details before departure;
  • Arriving within required check-in times;
  • Meeting baggage requirements;
  • Carrying valid travel documents.

Changes, cancellations, delays, route adjustments, baggage decisions, and operational matters are controlled by airlines.

Where airline-related issues occur, Trencher will provide reasonable assistance but cannot override airline policies.

 

  1. Accommodation and Tour Arrangements

Accommodation and tour experiences are provided according to the conditions of the relevant supplier.

 

Customers should note that:

Room availability may change;

Properties may have their own rules;

Activities may be modified due to safety, weather, or operational considerations;

Additional charges may apply directly from suppliers.

Trencher may adjust itineraries where necessary to maintain service quality, safety, or operational feasibility.

Where available, TrencherAI may provide tools that allow customers to organize travel-related documents and information.

Customers remain responsible for:

Protecting access to their accounts.

Providing documents through Trencher does not guarantee acceptance by airlines, embassies, immigration authorities, or other organizations.

 

  1. Customer Conduct

Customers using Trencher services agree to behave responsibly and comply with applicable laws and regulations.

Trencher may refuse or discontinue services where a customer’s actions:

Create safety concerns;

Involve fraudulent activity;

Harm other travellers;

Damage company or supplier property.

 

  1. Intellectual Property

All trademarks, branding, website content, software, technology, and materials belonging to Trencher Travel & Tour Ltd remain the property of the Company or its authorized licensors.

No content from our website, platforms, or services may be copied, reproduced, or used commercially without written permission.

 

  1. Limitation of Responsibility

Trencher will make reasonable efforts to deliver agreed services professionally and efficiently.

However, Trencher is not responsible for circumstances outside its reasonable control, including:

Government decisions; Immigration outcomes; Airline actions; Supplier failures; Weather events; Natural disasters; Security situations; Regulatory changes.

 

  1. Events Beyond Reasonable Control

Trencher shall not be considered responsible for delays, interruptions, or inability to perform services caused by circumstances beyond reasonable control, including emergencies, government restrictions, transportation disruptions, public health events, or other unforeseen circumstances.

By booking with Trencher, customers consent to receive service-related communication through channels provided during booking, including:

  • Email; Telephone; SMS; WhatsApp; Platform notifications.

These communications may include booking confirmations, updates, reminders, and important travel information.
